Step into Your New Role

 

We are seeking a PART TIME candidate with 1 to 3 years of administrative experience to be based in our San Antonio, TX office.

 

Provide basic administrative coordination to support the office’s needs. Will be accountable for front desk activities, including but not limited to answering phones, greeting clients and visitors, and ensuring office inventory is well stocked. Works under direct supervision from Supervisor/ Manager within specific guidelines and protocols on basic assignments.

 

RESPONSIBILITIES

  • Acts as back-up for Dispatcher, scheduling field staff in the Austin/Central Texas area and may occasionally assist with compilation of reports, and other deliverables.
  • Manage and maintains truck fleet, including but not limited to, coordinating monthly inspections, state inspections, oil changes/regular maintenance, etc.
  • Completes and maintains necessary filing, completes data entry and general clerical duties such as mileage logs, unit entries, sign in sheets etc.
  • Coordinates hotels, vehicle rentals, office meeting calendars, lunches and office meetings.
  • Supports our laboratory, field staff and office staff with shipping of samples, equipment, laptops etc. and follows shipping and receiving processes/ protocols.
  • Ensures kitchen and production area is stocked with an appropriate inventory of supplies.
  • Maintains IT Closet and PPE inventory.
  • Manages office related vendors effectively and appropriately to ensure office is well maintained
  • Executes on front desk, administrative tasks such as answering phone calls and greeting clients and visitors. 
  • Completes other assigned tasks within administrative role on an as needed/ requested basis.

 

JOB DESCRIPTION

  • Microsoft Office (Word and Excel) experience a plus. 

 

EXPERIENCE & ACADEMIC REQUIREMENTS

 

Education:   High School Diploma or equivalent required. Certificate or related education/skill certification desired.

 

Experience: Entry level position Certification/Registration
