Step Into Your New Role 

Kleinfelder is seeking a dynamic, well-organized, and detailed-oriented Sr. Project Administrator professional to join our Northern California Construction Services team in Sacramento, CA. This person will be a part of a growing team within an expanding company supporting local infrastructure projects that help the public and are happening in your community!

The Sr. Project Administrator performs tasks in support of project budget, schedule and reporting activities. This position assists Kleinfelder's project managers and program managers with the development and organization of project data such as fee estimates, earned value, status reports, cost reports, backlog projections and resource needs.

 
Responsibilities will include:

• Assist the CoMET Service Line Leader (SLL) in systematically evaluating and enhancing processes for tracking sales opportunities to improve conversion rates and forecasting accuracy.
• Assist SLL in developing comprehensive tracking and analysis of project execution and individual Project Manager performance to identify strengths, areas for improvement, and resource optimization opportunities.
• Ensure consistent adherence to safety regulations, policies, and best practices across all projects and team members within the group.
• Extract information from Deltek and other centralized systems for sales opportunities, ensuring accurate and real-time entry of leads, proposals, status updates, probability assessments, and projected values.
• Extract information from Agiloft and other systems to track contract approval workflow, and negotiations on contracts with high risk items.
• Collect, consolidate, and analyze data from project management tools, timesheets, to produce performance summaries.
• Develop a monitoring and tracking system to ensure Construction Services is implementing Kleinfelder’s safety program (HASPs, LPO’s, LI, etc.)
• Serve as the primary point of contact for administrative matters within the CS SL, facilitating communication between the Group Leaders, Project Managers, and other stakeholders.
• Organize and support group-level meetings, including agenda preparation, minute-taking, action item tracking, and follow-up.
• Assist in special projects or initiatives as assigned by the SLL, such as process improvements, tool implementations, or audit preparations.
• Assist SLL in Scope Management for NCP Critical Programs or Projects. Tracks scope changes and deviations.
• Assist SLL with invoice management and finance support for NCP Critical Programs or Projects.
• Project Related Tasks ‐ Assists with project stakeholder meetings (internal or external) and ensures timely response to stakeholders.
• Project Delivery Team Support - Assist and support Service Line Leader, assigned project staff, and Senior Project Control Specialist as requested.
• Communication - Creation and maintenance of project specific tracking logs and daily communication (i.e. email) to project team and stakeholders.

 
Required Skills and Experience:

• Associate degree in Finance, Business, Project Management or equivalent combination of education and experience required. Bachelor's degree preferred.

• 5 + years of engineering or construction project controls experience - preferably in a construction or engineering firm

• Well-developed presentation, communication, and interpersonal skills.

• Proficiency with Microsoft Office applications (Word, Excel, Outlook, etc.).

Benefits: Kleinfelder, and its’ subsidiaries and affiliates, offers an excellent compensation and benefits package, including: medical, dental, vision, life insurance, 401(k) plan, and paid holidays.The expected salary range for the position is displayed in accordance with the California Pay Transparency Law.  Final agreed upon compensation is based upon individual qualifications and experience. Salary range: $60,196 - $100,464.
